This policy explains how AgentikHQ Technologies (OPC) Pvt Ltd (“AgentikHQ”, “we”, “us”) collects, uses, stores and protects personal data when you visit agentikhq.com, book a demo, or contact us. It is written to follow the Digital Personal Data Protection Act, 2023 (“DPDP Act”), the Digital Personal Data Protection Rules, 2025, the Information Technology Act, 2000, and the Information Technology (Reasonable Security Practices and Procedures and Sensitive Personal Data or Information) Rules, 2011.

1. Who we are

AgentikHQ Technologies (OPC) Pvt Ltd is the data fiduciary for the personal data described here.

Registered office: 410, J.B.R Arcade, Opp. Satyam Complex, Science City Road, Sola, Ahmedabad, Gujarat – 380060, India.
Email: info@agentikhq.com

2. What we collect

We collect only what we need to respond to you and to run the website.

  • Details you give us: your name, work email address, company, the service you are interested in, and anything you write in a contact form, a booking or an email.
  • Booking details: if you book a demo, the scheduling tool we use (Google Calendar appointment scheduling) receives your name, email and chosen time.
  • Technical data: your IP address, browser type, device, pages visited and the date and time of the visit, recorded in our hosting provider’s server logs for security and troubleshooting.
  • Cookies and similar technologies: see section 6.

We do not ask for sensitive personal data such as financial account details, government identifiers, health data or passwords through this website, and we ask you not to send them.

3. Why we use it

  • To answer your questions and arrange demos or calls.
  • To prepare and deliver services you ask us about.
  • To keep the website secure, prevent abuse and fix faults.
  • To understand how the website is used and to measure our marketing, only if you accept analytics and marketing cookies.
  • To meet legal, tax and regulatory obligations.

We process your data on the basis of your consent, which you give when you submit a form, book a demo or accept cookies, and for the legitimate uses the DPDP Act permits, such as responding to a request you made to us. We do not sell personal data.

4. Who we share it with

We share personal data only with service providers that help us run the website and our business, under terms that require them to protect it:

  • Hosting and infrastructure (Hostinger).
  • Scheduling (Google Calendar appointment scheduling).
  • Form and customer-relationship tools we use to receive and follow up enquiries.
  • Email and productivity tools.
  • Google Fonts and Google Maps, which load on some pages only after you accept them, and receive your IP address when they do.
  • Analytics and advertising tools that load only if you accept them: Google Tag Manager and Google Analytics (Google LLC), and Meta Pixel (Meta Platforms). See section 6.

We may also disclose data where the law requires it, or to protect our rights, our users or the public. Some providers process data on servers outside India. We transfer data abroad only as the DPDP Act and the Rules allow.

5. How long we keep it

We keep personal data only as long as needed for the purpose it was collected for, and for as long as the law requires us to keep records. Enquiry details are normally deleted or anonymised when they are no longer needed to respond to you or to keep a business record.

6. Cookies, tracking and consent management

How we ask for your consent. We use Borlabs Cookie to manage consent. When you first visit, a banner lets you accept all, accept only essential, or choose by service. Nothing optional loads before you choose. We store your choice and the time you made it (a consent log) so that we can show what you agreed to or declined. You can change or withdraw your choice at any time, as easily as you gave it, from the “Change cookie settings” link on this site. Withdrawing consent does not affect what we did before you withdrew it.

Essential. These keep the website working and remember your cookie choice. They do not need your consent.

External content (only after you accept). Google Fonts and Google Maps (Google LLC) and our contact form (HighLevel). When they load, your browser connects to their servers and they receive your IP address and device details.

Statistics (only after you accept). We use Google Tag Manager to load Google Analytics (both Google LLC). Google Analytics uses cookies and similar identifiers to measure which pages are viewed, how visitors reach the site, and the device, browser and approximate location they use. We use this to improve the website. We do not use it to identify you personally.

Marketing (only after you accept). We use Meta Pixel (Meta Platforms) to measure the results of our advertising and to show our ads to people who may be interested. Meta may receive your IP address, device identifiers and the pages you view, and may combine them with information it already holds about you.

Until you accept, none of these tools are loaded. Google Tag Manager, Google Analytics and Meta Pixel do not run, and no data is sent to them. If you accept and later withdraw, they stop loading on your next page view. You can also limit tracking through your browser settings, Google’s opt-out add-on (tools.google.com/dlpage/gaoptout) and your Meta ad settings.

These providers may process data on servers outside India. Their own policies apply to their use of the data: Google and Meta.

7. How we protect it

We use reasonable security practices, including encrypted connections (HTTPS), access controls, and keeping the website software up to date. No system is completely secure. If a personal data breach affects you, we will tell you and the Data Protection Board of India as the law requires.

8. Your rights

Under the DPDP Act you can:

  • ask for a summary of the personal data we hold about you and how it is used;
  • ask us to correct, complete, update or erase it;
  • withdraw your consent at any time (this does not affect processing done before you withdrew it);
  • nominate another person to exercise your rights if you die or become unable to;
  • have a grievance addressed by us, and if you are not satisfied, complain to the Data Protection Board of India.

To use any of these rights, write to the Grievance Officer below. We may ask you to confirm who you are first.

This website is meant for businesses and is not directed at children. We do not knowingly collect the personal data of anyone under 18. If you think a child has given us data, tell us and we will delete it.
